Terms & Conditions
Last updated: Draft
Please read these terms before booking. They explain how bookings, payments, changes and cancellations work.
1. About these terms
These terms apply to every tour booked on this website with Mongolink Tours (“we”, “us”). By completing a booking you confirm that you have read them and that you accept them on behalf of everyone in your booking.
The person who makes the booking (the “lead traveler”) must be at least 18 years old and is responsible for passing on all booking information to the other travelers.
2. Making a booking
When you submit the booking form we reserve your seats on the chosen departure and give you a booking code. The reservation is held for a limited time, shown on your confirmation page, while you arrange the deposit.
Your booking is confirmed once we have received the deposit. For tours marked “on request” we first confirm availability by email; please do not pay before we do.
- Enter each traveler’s name exactly as it appears in their passport.
- Tell us about dietary requirements or medical conditions that may affect the trip.
- Check your confirmation carefully and tell us straight away if anything is wrong.
3. Prices and payment
Prices are per person for the whole tour and are shown in the currency on the tour page. What is and is not included is listed on each tour page. The total confirmed at the time of booking is the price you pay; it will not change afterwards except as described in section 6.
Payment is currently by bank transfer. Please use your booking code as the transfer reference so we can match your payment. Any bank charges are paid by the sender. Card and QPay payments will be added later.
4. Deposit and balance
A deposit — the percentage and amount are shown when you book — secures your seats. If the deposit has not reached us by the time shown on your confirmation, the reservation is released automatically and the seats become available to other travelers.
The remaining balance is due before departure. We will tell you the due date by email. If the balance is not paid in time we may treat the booking as cancelled by you, and the cancellation charges in section 5 apply.
5. If you cancel or change your booking
Each tour has its own cancellation policy, shown on the tour page and again before you confirm your booking. The policy in force on the day you book applies to your booking. Charges are calculated as a percentage of the tour price, depending on how many days before departure we receive your cancellation.
Please send cancellations and change requests in writing, quoting your booking code. Name changes and date changes are possible where availability allows; we will tell you about any cost before making the change.
6. If we change or cancel a tour
Travel in Mongolia depends on weather, road and river conditions. Our guides may adjust the route, the order of the days or the accommodation for safety reasons or to keep the tour running; where possible we replace any missed service with one of similar value.
Departures marked “Guaranteed” will run. Other departures may be cancelled if the minimum group size is not reached; in that case we will tell you as early as possible and offer another date or a full refund of everything you have paid us.
7. Passports, visas and health
You are responsible for having a valid passport, any visa you need and the health documents required for your trip. Many of our routes are remote: medical facilities are limited and some days have no mobile phone coverage. Please make sure you are fit for the activities described in the itinerary and tell us about any condition we should know.
8. Travel insurance
We strongly recommend comprehensive travel insurance covering medical treatment, emergency evacuation from remote areas, and cancellation. Insurance is not included in the tour price unless the tour page says so.
9. Our responsibility to you
We take reasonable care in arranging and providing your tour. We are not responsible for events beyond our reasonable control, such as extreme weather, natural disasters, road closures, epidemics, government action or strikes, or for losses caused by travelers themselves.
Nothing in these terms limits any liability that cannot be limited by law.
10. Respect for local communities
Many tours include visits to nomad families and protected areas. Please follow your guide’s advice on local customs and nature protection. We may exclude a traveler whose behaviour puts others at risk; no refund is due in that case.
11. Questions and complaints
If something is not right during the tour, please tell your guide straight away so we can fix it on the spot. Otherwise contact us at info@mongolink.mn with your booking code. How we use your personal data is explained in our Privacy Policy.
These terms are governed by the laws of Mongolia.
